The Pederson Group has been retained by Mikkelsen Coward to conduct a search for a Service Dispatcher Coordinator to join their team in Winnipeg, MB!

The Service Dispatcher Coordinator will be responsible for coordinating and optimizing the scheduling of HVAC service technicians to ensure efficient and timely responses to customer requests. 

Responsibilities:


Service Call Coordination:

  • Prioritize and dispatch HVAC service calls based on urgency, customer needs, and technician availability. 

  • Allocate resources to balance workloads and meet service level agreements efficiently. 

Maintenance Visit Coordination:

  • Coordinate and communicate schedules for maintenance tasks to HVAC technicians. 

  • Organize and procure maintenance materials needed for service clients monthly. 

  • Optimize technician routes to minimize travel time and maximize productivity.

Project Labour Coordination: 

  • Coordinate between service and project management team and allocate labour accordingly. 

  • Oversee a group of technicians and apply the proper labour pool to the project or service request.

Communication: 

  • Serve as the first point of contact for clients and HVAC technicians. 

  • Relay and disseminate information regarding job details, schedules, and updates between customers and field personnel. 

  • Respond promptly to customer inquiries through various communication channels.

Problem Resolution:

  • Communicate effectively with clients while assessing the severity of the issue and triaging the service requests. 

  • Make informed decisions on prioritizing and allocating labour when there is a shortage.

  • Collaborate with the Service Manager to address emergency calls and resolve problems efficiently. 

Documentation and Reporting:

  • Maintain accurate records of service calls, technician assignments, and work progress. 

  • Generate and analyze reports to track performance metrics, ensuring service levels are met. 

  • Review and edit service work order summaries and send them to clients promptly. 

Collaboration:  

  • Work closely with the Service Administrator, Service Manager, Lead Technician, and other relevant personnel to enhance overall team efficiency and culture. 

  • Collaborate with the Service Administrator, Service Manager, and Lead Technician to suggest and implement a proactive and innovative strategy for procuring material, delivering great service, and supporting technicians.

Experience and Qualifications:

  • Minimum 1 year of experience in a service coordinator role or a similar position that requires coordinating multiple technicians to site. 

  • Proven experience in a dispatching role, with preference given to candidates from the HVAC industry. 

  • Knowledge of HVAC systems, terminology, and common issues is considered an asset. 

  • Excellent written and verbal communication skills. 

  • Strong organizational abilities and the capability to prioritize tasks effectively. 

  • Proficient in dispatching software and familiar with scheduling tools. 

  • Previous experience using Jonas Enterprise or Northboundary software would be an asset. 

  • Demonstrated ability to remain calm and make informed decisions in fast-paced and unpredictable situations. 

  • Proficient in using standard office software, including Word, Excel, and related applications. 

  • General sense of direction of Winnipeg and the ability to use GPS software to dispatch labour efficiently.
